Overview

Crossrail was set up to construct the Elizabeth line through central London; one of the most significant engineering projects of the 21st century.

The Brief

They were looking for a virtual meeting platform to enable them to inform, engage and motivate their workforce and replace their planned in-person conferences that were cancelled due to the challenges of COVID-19.

It's all in the details

With a lead time of just 12 days from initial brief to delivery, Crossrail readied their full leadership team and stakeholders for a two-hour virtual event to cascade a variety of essential business updates to their workforce.

Virtual/hybrid events are cost-effective and provide excellent ROI, but success is driven by the level of planning and rehearsal time invested, akin to live production. As this was their first time trying a virtual event experience, they appreciated how closely we worked with them to coach their presenters and help shape the agenda, messaging and engagement tools to maintain its impact in a new medium.

The solution

Our bespoke microsite platform was easily customisable to their needs for both the event portal and a home for the live stream. The site was fully branded, and we partnered with their internal communications team to manage the delegate registration system.

To ensure the content was presented in an accessible way, we worked with them to pre-record specific sessions. This enabled us to edit out any delivery inconsistencies or nerves from the presenter, seamlessly edit in supporting graphics as well as give the communications team control the narrative

That freed up the leadership team during the event to observe the questions, conduct live panel sessions, answer live questions from the audience, and conduct polls.

Result

A very successful meeting which has led to further virtual events being scheduled across the Crossrail group.
